Chemonics International is hiring for a new USAID program that aims to support civil society organizations and independent media to advance key transition priorities. The implementation of this program requires a highly integrated and dynamic team approach to creative, coordinated, and effective program implementation in order to meet the program’s objectives.
Background:
The USAID/Office of Transition Initiatives (OTI) Transition to New Sudan (TNS) program aims to support the consolidation of Sudan’s democratic transformation through activities that 1. enable the civilian-led government to demonstrate progress on key transition processes; 2. strengthen civic engagement; and 3. expand independent media. The Logistics Officer will report directly to the Operations Associate or their designee and will work closely with the Logistics Assistant and the Operations team to achieve TNS objectives.

Duties and responsibilities:
• Identify and establish relationships with hotels in various regions on behalf of the TNS project
• Make hotel reservations for all project staff travelling within Sudan
• In collaboration with the Operations Associate, review Hotel invoices
• Arrange air tickets for all project staff
• Review invoices from airlines and coordinate timely payments
• Coordinate road travel for all project staff in collaboration with the Office Manager and Logistics Assistant
• In collaboration with Logistics Assistant, manage daily vehicle requests for the Khartoum office
• Prepare monthly travel roaster for all project drivers.
• Coordinate with the Operations team to ensure drivers check-in throughout their journey (Journey management)
• Monitor and control all project diesel and fuel purchases
• Assist the Operations Manager as needed in implementing appropriate measures regarding maintenance of all project vehicles
• Collaborate with the Security team on all vehicle security matters
• Maintain adequate file records of all expenses on hotel, vehicles and tickets
• Maintain tracking records for all project vehicle movements
• Provide monthly reports on all logistics related activities
• Travel to assist with field activities when required
• Communicate information in a way that demonstrates a basic understanding of development assistance work, TNS culture, values, and practices, and the specific scope and nature of the TNS project
• Demonstrate maturity, dependability, integrity, and initiative to learn competencies and skills required for the job assignment
• Carry out other duties as assigned

Minimum Qualification, Skills and Experience Required:
• Degree or certificate is preferred
• At least 3-5 years experience working in an administrative role
• Excellent working capabilities with MS Office
• Good interpersonal skills, honesty, and commitment to excellence
• Ability to establish and maintain effective, sustainable relationships with project staff, bank and tax officials, USAID Mission personnel and the general development and business community
• Experience with donors and USAID is preferred
• Strong organizational and work prioritization skills, attention to detail
• Ability to work both independently and as part of a team
• Demonstrates leadership, versatility, and integrity
