 Background:

The Admin Assistant provides comprehensive administrative and office management support to ensure the smooth and efficient operation of Save the Children's Khartoum Field Office. The position plays a critical role in coordinating office services, travel and accommodation arrangements, meetings, events, facility management, and administrative procurement processes.

Working closely with all departments, the Admin Assistant is responsible for maintaining a safe, organized, and productive working environment by overseeing office resources, service providers, maintenance activities, and logistical support. The role also contributes to HR and administrative record management, ensuring compliance with organizational policies and procedures.

The position requires strong organizational, communication, and multitasking skills, as well as the ability to work effectively with diverse teams and stakeholders. Through efficient administration and support services, the Admin Assistant enables program and operational teams to focus on delivering high-quality humanitarian and development interventions for children and communities across Sudan



 
 Duties and responsibilities:

  • Diary management and arranging appointments, booking meeting rooms and conference facilities 
  • General office management such cleanness, office needs and ordering stationery 
  • Organizing travel and accommodation for staff and customers 
  • Arranging both internal and external events 
  • Management. Arrange Hotel accommodation for staff/visitors.  
  • Managing Events and meetings in coordination with the requesting departments 
  • Management of Staff seating arrangement and relocation inside the office. 
  • Mange Office Store.
  • Responsible for ensuring insides and outside office area quality of Cleanness. 
  • Availing Drinking water and Electricity charges all SCI premises 
  • Follow up on all the maintenance of SCI premises 
  • Responsible, cleaners, and cookers,
  • Responsible for Payments of SCI field rented premises
  • Managing Overtime payment for drivers and cleaners
  • Raising PRs for all Admin purchases

 Minimum Qualification, Skills and Experience Required:

  • University degree in Business Administration or any other Social Science
  • Minimum 1 years experience in Admin role 
  • Interpersonal & Communications.. 
  • Excellent computer skills and excellent English language skills (reading and writing).
  • Previous experience of working in admin and  HR administrative role
  • First-rate organizational skills with a strong eye for detail and the ability to prioritize effectively whilst working to tight deadlines.
  • Good attention to detail
  • Excellent skills in Microsoft Excel/Word. 
  • Experience in managing HR records i.e. for both paper and electronic systems
  • Good verbal/written communication skills, a clear understanding, and awareness of HR processes including the importance of confidentiality.
