 Background:

Supply Chain Assistant

 

The Danish Refugee Council (DRC), one of the world’s leading NGOs, with a focus on responding to displacement, have been registered in Sudan since 2004, delivering life-saving programming in protection, emergency response, shelter, food security and livelihoods, disaster risk reduction, camp management, and humanitarian mine action. DRC has implemented projects in Central Darfur, South Kordofan, Gedaref, Port Sudan, and White Nile. Sudan hosts one of the largest displaced populations in Africa, with over 3.7 million internally displaced people and over 1.1 million refugees from South Sudan, Ethiopia, Eritrea, Central African Republic, Chad, Yemen and Syria. Against a background of political crisis, Sudan faces economic and social turmoil, with sharp increases in food and energy costs, further exacerbated by disease outbreaks and ongoing conflict.

 

Overall purpose of the role

Overall purpose of the role is day-to-day management of stocks and warehouse facilities assigned to his/her area of responsibility, with the flow of goods / items and stocks through the warehouse in Kosti.



 
 Duties and responsibilities:

  1. Receiving and Recording
    • Assist in receiving goods, verifying quantities, quality, and specifications against purchase orders and delivery notes.
    • Keeping up-to-date stock cards and ensuring that all goods are properly documented upon arrival.
    • Overseeing loading/ offloading operations when the truck/vehicle arrives at the warehouse
    • Report any discrepancies or damaged items immediately to the Supply Chain.
  2. Storage and Organization
    • Ensuring that the physical stacking of items within warehouse and stocks is logical, optimizing space and preserving accessibility of items.
    • Ensure that items are labeled, tagged with bin card, and stored according to category, expiry date, or other specifications.
    • Help maintain proper hygiene, cleanliness, and safety standards in the storage area.

    • Packing, preparing and issuing requested items against approved release orders.
    • Record all items stock cards or stock management system.
    • Ensure “First-In, First-Out (FIFO)” or “First-Expired, First-Out (FEFO)” methods are followed.
  3. Issuing of Goods 
  4. Stock Control and Documentation
  • Conduct regular stock counts and physical inventory checks.
  • Maintain accurate records of receipts, issues, and balances.
  • Assist in preparing stock reports for submission to management.
  • Reviewing and updating stock cards and stock reports and other warehouse documents, entering in stock cards and bin cards and further registering them in stock register all the goods received in and out;
  • Drawing up the weekly/ monthly warehouse inventory reports to SSM
  1. Safety and Security
  • Ensuring that all goods are stored and packed safely and securely and in accordance with DRC procedures.
  • Help in monitoring the security of the store to prevent loss, theft, or damage.
  • Report any irregularities immediately to the Supervisor.
  • Ensure compliance with safety standards (fire extinguishers, proper stacking, restricted access, etc.).
  1. Other Duties
  • Assist with loading and unloading items during deliveries or dispatches.
  • Support the logistics team with filing and documentation.
  • Perform any other tasks assigned by the Supervisor

 
 Minimum Qualification, Skills and Experience Required:

SKILLS AND EXPERIENCES

  • Bachelor's degree (or equivalent) in Business Administration, Supply Chain or related fields,
  • Minimum 1 -2 year of relevant work experience in storekeeping, warehousing, or inventory management.
  • Experience in administrative tasks, including filing systems. 
  • Fluency in Arabic is required.
  • English proficiency preferred
  • Good communication and teamwork skills.
  • Attention to detail and high level of accuracy.
  • Ability to manage emergency situations and remain calm.
  • Accuracy in paperwork

EDUCATIONAL QUALIFICATIONS

 

University degree in relevant fields.

Salary and conditions will be in accordance with Danish Refugee Council’s Terms of Employment for national employees.
