 Duties and responsibilities:

The Logistic Officer will have the following duties:

Procurement & Supply Chain

  • Ensure compliance with WHH procedures, donor requirements (e.g., AA,BMZ,ECHO,GIZ,WFP ,OCHA/SHF….), and Sudan regulations.
  • Manage the procurement cycle (SPRs, RFQs/RFPs, bid analysis, and contracting).
  • Maintain vendor database, price lists, and Approved Supplier List (ASL), including due diligence.
  • Conduct market assessments and negotiate with suppliers to ensure value for money.
  • Ensure procurement files are complete, compliant, and audit-ready.
  • Update and monitor the SPR tracking sheet and report delays or issues.
  • Review procurement files and payment requests before submission to Finance.
  • Provide procurement updates during program meetings.
  • Logistics & Asset Management
  • Receive goods and prepare GRNs, ensuring compliance with specifications.
  • Register, tag, and track assets, maintaining accurate records.
  • Manage asset handovers, tracking, and retrieval from staff.
  • Support asset verification and reconciliation exercises.
  • Maintain proper filing (hard/soft) for all logistics and asset documents.
  • Coordinate with suppliers and program teams to resolve issues and track deliveries.
  • Warehouse & Inventory
  • Maintain proper warehouse systems and stock records.
  • Manage dispatches in line with approved plans, ensuring waybills and ack Track stock movements through a Warehouse Tracker and ensure proper documentation.

Fleet Management (FleetWave)

  • Manage fleet operations, including vehicle allocation, driver scheduling, and movement planning.
  • Use and monitor the FleetWave system for vehicle tracking, trips, and reporting.
  • Ensure compliance with movement procedures and permissions in Sudan.
  • Oversee vehicle maintenance, fuel monitoring, and performance tracking.

Administration & Support

  • Maintain proper filing and record-keeping systems for audit purposes.
  • Prepare regular reports on procurement, assets, inventory, and fleet.
  • Support logistics arrangements for meetings, field missions, and visitors.
  • Supervise support staff and ensure smooth office operations.
  • Perform other duties as assigned by the Senior Supply Chain officer. Knowledge.

 

 

 


 
 Minimum Qualification, Skills and Experience Required:

Qualifications

  • University Degree, Bachelor’s degree in Business Administration or any relevant 
  •  1-2  years’ experience in Logistic and experience with INGOS is essential. 
  • Government or private company experience is not relevant for this post.
  • Experience with such donors as ECHO, USAID/OFDA, EU, WFP, FAO, DFID, CHF, UNDP are an advantage.
  • Fluent in English Language, both spoken and written is ESSENTIAL for this position 
  • Advances practical knowledge of Excel and Microsoft Office is required.
