 Duties and responsibilities:

  1. Recruitment & Onboarding:
  • Coordinate end-to-end recruitment: job postings, longlisting, shortlisting, scheduling interviews, reference checks, and offer letters.
  • Deliver structured onboarding and induction programs that orient new staff to Aid Point's mission, values, policies and safeguarding standards.
  • Maintain an up-to-date roster of pre-screened candidates for surge and emergency response deployments.

2. Contracts, Records & HR Administration:

  • Prepare employment contracts, amendments, and end-of-service documentation in line with Sudanese labor law and Aid Point's HR policies.
  • Maintain accurate, complete, and confidential personnel files (digital and physical) for all staff and volunteers.
  • Track contract expiries and proactively coordinate renewals with line managers and the HR Manager.

3. Payroll, Leave & Benefits Administration:

  • Compile monthly payroll inputs (new hires, exits, allowances, deductions, leave) and submit to Finance for processing.
  • Administer the leave management system; monitor balances and ensure accurate reporting.
  • Support enrollment and administration of staff benefits (medical insurance, social security).

4. Performance Management Support:

  • Coordinate the annual performance appraisal cycle: tracking deadlines, distributing forms, and following up with managers.
  • Maintain records of completed appraisals, training needs, and individual development plans.

5. Learning & Development: 

  • Coordinate logistics for staff training events, workshops, and induction sessions.
  • Maintain a training database and produce quarterly L&D reports.
  • Support delivery of mandatory training PSEA, Safeguarding, Code of Conduct, Security).

6. Employee Relations & Staff Welfare:

  • Serve as a first point of contact for staff inquiries on HR policies, entitlements, and procedures.
  • Support resolution of routine employee relations issues and escalate complex matters to the HR Manager.
  • Promote a positive, inclusive, and respectful working environment across Aid Point offices.

7. Compliance, Safeguarding & Reporting:

  • Ensure HR processes comply with Sudanese labor law, donor regulations, and Aid Point internal policies.
  • Support implementation of Safeguarding and policies across the employee lifecycle.
  • Prepare monthly HR reports (headcount, recruitment status, leave, turnover) for the HR Manager.

 
 Minimum Qualification, Skills and Experience Required:

1. Education & Certifications:

  • Bachelor's degree in Human Resource Management, Business Administration, Public Administration, or related field.
  • Professional HR certification (CIPD Level 3/5, SHRM-CP, or equivalent) is an added advantage.

2.  Experience:

  • Minimum 3 years of progressive HR experience, preferably with an INGO, NGO, or UN agency.
  • Hands-on experience with recruitment, contracts, payroll inputs, and ERP system.

3. Core Competencies:

  • Attention to detail | Confidentiality | Strong interpersonal skills | Customer-service orientation | Organizational skills | MS Office & HRIS proficiency.
  • Languages: Fluency in Arabic (essential) and good working English (written and spoken) required.
