Background:
Osman Consulting Ltd will support implementation oversight for the Rapid Emergency Response for Displaced Populations in Sudan, a 12-month intervention running from April 2026 to March 2027. The project delivers integrated Health, WASH, and Shelter support in Khartoum, White Nile, and Northern States, with emphasis on timely delivery, donor compliance, partner coordination, risk management, monitoring, and quality assurance. The approved project framework also includes a dedicated visibility and communication annex, reflecting the importance of accurate field communications, logo compliance, and controlled publication of project information and audio-visual materials.
Duties and responsibilities:
Purpose of the Role
The Communications and Visibility Officer serves as the Sudan-based focal point for field communications, donor visibility, and documentation support. The role ensures that project achievements, implementation milestones, and field evidence are documented accurately and safely, and that communication and branding materials are prepared in line with agreed visibility requirements, approval processes, humanitarian principles, and risk-sensitive communication standards.

Scope of Work and Key Responsibilities
Visibility planning and donor branding compliance
Support application of agreed visibility requirements across Sudan-based project activities, sites, events, materials, and outputs, including approved use of logos, banners, captions, site boards, branded templates, and asset-labelling where applicable.
Maintain a visibility tracker covering field materials, branding status, communication outputs, approval status, and key visibility opportunities linked to implementation milestones.
Check that communication and visibility outputs are aligned with the project’s approved scope, donor commitments, and any written clearance requirements before release or circulation.
Field content collection and documentation
Collect high-quality photos, short videos, field notes, captions, beneficiary quotations, case stories, and implementation highlights from project locations in coordination with the Project Officers and relevant field counterparts.
Document implementation progress across Health, WASH, Shelter, and monitoring-related activities in a way that is accurate, time-stamped, location-specific, and useful for donor reporting, presentations, and visibility products.
Maintain before-and-after visual records, activity summaries, interview notes, and basic content logs that can be used to support reporting, review missions, or visibility packages.
Communication product drafting and packaging
Prepare first drafts of field communication products such as activity updates, success stories, human-interest notes, caption sheets, briefing summaries, slide inputs, newsletter text, and short donor-facing highlights as requested.
Support preparation of communication inputs for narrative reports, donor updates, review presentations, management briefs, and close-out materials.
Work with management to refine messaging so that communication products remain factual, concise, dignified, and aligned with humanitarian and institutional standards.
Approvals, consent, and information quality control
Verify basic facts, names, dates, locations, beneficiary figures, and context notes before communication materials are submitted for review or external use.
Ensure that informed consent procedures, identity protection considerations, and do-no-harm principles are respected when collecting or sharing photographs, video, quotations, or beneficiary stories, especially for children and vulnerable individuals.
Maintain an organised archive of approved communication products, raw files, caption logs, consent records, and visibility materials so that documentation remains retrievable and auditable.
Coordination and operational liaison
Coordinate with Project Officers, the Project Manager, Programme Manager, Operations and Logistics Officer, and Admin and Security Officer to plan field visits, gather communication material, and align visibility opportunities with implementation progress and security realities.
Liaise with implementing actors, site focal points, local authorities, and service providers as delegated to arrange field access, interviews, activity coverage, or information collection needed for visibility products.
Support communication preparation for donor or management visits by helping compile evidence packs, site briefing notes, visibility materials, and photo selections.
Risk-sensitive communication and safeguarding
Apply a context-sensitive approach to communication in conflict-affected settings, ensuring that no published or shared material compromises staff safety, community protection, access negotiations, or operational neutrality.
Flag any reputational, safeguarding, confidentiality, or misinformation risks linked to communication products and escalate them promptly through the appropriate management line.
Support responsible portrayal of affected populations by avoiding sensational, inaccurate, or undignified representation and by promoting inclusive and respectful storytelling.
Minimum Qualification, Skills and Experience Required:
Bachelor’s degree or Diploma in communications, journalism, media, public relations, development communication, or another relevant field; equivalent practical experience may be considered.
At least 5 years of relevant communications, visibility, reporting support, or field documentation, preferably in Sudan and preferably within humanitarian, NGO, or project environments.
Good contextual awareness, discretion, and ability to handle sensitive information responsibly.
Strong organisational and communication skills.
Full professional proficiency in Arabic, including strong writing and editing skills.
Working proficiency in English, with the ability to communicate effectively in professional settings and coordinate with HQ-based colleagues.
Strong organizational and coordination skills; attention to detail and ability to manage multiple priorities.
Excellent communication and interpersonal skills; ability to liaise with diverse stakeholders.
Demonstrated ability to collect and organise high-quality written and visual field content for donor, programme, or institutional use.
Good practical skills in photography, caption writing, basic content editing, and file organisation.
Strong contextual awareness and sound judgement on confidentiality, consent, protection, and reputational risk.
