 Background:

Osman Consulting Ltd will support implementation oversight for the Rapid Emergency Response for Displaced Populations in Sudan, a 12-month intervention running from April 2026 to March 2027. The project delivers integrated Health, WASH, and Shelter support in Khartoum, White Nile, and Northern States, with emphasis on timely delivery, donor compliance, partner coordination, risk management, monitoring, and quality assurance



 
 Duties and responsibilities:

Purpose of the Role

The Admin and Security Officer combines office administration support with basic safety and security coordination functions. The role ensures that staff administration, facilities support, travel arrangements, and security communications are handled in an organised, timely, and risk-aware manner.

Scope of Work and Key Responsibilities:

 

Office administration

  • Manage office support tasks including filing, correspondence, stationery and supplies tracking, visitor coordination, meeting logistics, and general administrative services.
  • Support staff travel arrangements, accommodation booking, movement paperwork, and other approved administrative processes.
  • Maintain administrative records and local office files in a structured manner.

Staff support and facility coordination

  • Support onboarding and routine staff administration in coordination with the UK HR and Admin Officer.
  • Coordinate basic office facility needs, service providers, communications tools, and office readiness requirements.
  • Track administrative requests and ensure timely follow-up.

Security coordination

  • Maintain routine awareness of local security developments affecting staff movement, office operations, meetings, and field visits.
  • Support implementation of security procedures such as movement tracking, contact trees, incident logging, briefing support, and dissemination of security updates as directed.
  • Immediately escalate any incident, security concern, or change in local context that may affect staff safety or project operations.

Documentation and reporting

  • Maintain security logs, administrative trackers, movement records, and related documentation required for management oversight.
  • Provide concise administrative and security updates to the Project Officer and support incident follow-up documentation where needed.

 
 Minimum Qualification, Skills and Experience Required:

  • Bachelor’s degree or Diploma in Business Administration, Security Coordination, Social Sciences, Humanities, or related field 
  • At least 5 years of relevant administrative and/or security support experience in Sudan.
  • Good contextual awareness, discretion, and ability to handle sensitive information responsibly.
  • Strong organisational and communication skills.
  • Full professional proficiency in Arabic, including strong writing and editing skills.
  • Working proficiency in English, with the ability to communicate effectively in professional settings and coordinate with HQ-based colleagues.
  • Strong organizational and coordination skills; attention to detail and ability to manage multiple priorities.
  • Excellent communication and interpersonal skills; ability to liaise with diverse stakeholders.
