 Background:

Reporting to the Logistics Officer, the Admin and Logistics Assistant is responsible for providing day-to-day support in logistics, procurement, office administration, and asset management. The role ensures efficient operational support and full compliance with WHH policies, procedures.



 
 Duties and responsibilities:

Office Management

  • Managing office premises, leases, utilities, and maintenance
  • Ensuring offices are clean, safe, and fully operational
  • Coordinating repairs, furniture, and basic infrastructure
  • Managing access control, keys, and visitor logs

Guesthouse (GH) Management

  • Managing GH accommodation for staff and visitors
  • Ensuring rooms, common areas, and facilities are clean, safe, and functional
  • Coordinating cleaning, laundry, water, power, and security services
  • Maintaining room allocation, check-in/check-out records

Safety & Compliance

  • Ensuring offices and GHs comply with security and safety standards
  • Maintaining fire safety, first-aid kits, emergency exits, and basic safety equipment
  • Coordinating with Security for incident reporting and emergency procedures

Utilities & Supplies

  • Managing electricity, water, internet, fuel for generators, and basic supplies
  • Ensuring uninterrupted basic services in offices and GHs

Asset & Inventory Control

  • Maintaining office and GH asset lists (furniture, appliances, equipment)
  • Supporting tagging, handover, and reporting of damages or losses

Vendor & Service Management

  • Managing service providers for cleaning, guards, maintenance, and utilities
  • Ensuring contracts and services are delivered as agreed

Staff Support

  • Ensuring a dignified, safe, and comfortable working and living environment
  • Responding to staff requests related to office or GH facilities.

 
 Minimum Qualification, Skills and Experience Required:

Qualifications & Experience:

  • Education required: Higher secondary school and above .
  • Work Experience :Minimum 1 year of experience in logistics department in any position  , within the humanitarian/INGO, NGO AND UN agencies.       

 Knowledge, Skills & Abilities:

  • English Language skills.
  • Demonstrate good judgment and sound logistic procurement "common sense.”
  • Demonstrable problem-solving skills and a high level of attention to detail.
  • Organized and able to work in a fast paced and deadline driven environment.
  • Excellent in Microsoft Office programs, especially Excel spreadsheets. 
  • Excellent written and verbal communication skills.
  • Values collaboration and contributing to the shared goals and success of the team.
