THE PURPOSE 

 

The Office Clerk/Storekeeper is responsible for the proper handling and storage of items in the Premises Store in accordance with standard operating procedures. S/he also carries out office/logistical tasks requiring no specific qualification, such as photocopying, simple document filing, residence/office logistical duties and care of inventory.

 

REPORTS TO (ROLE)

 

  • Premises Assistant


 
 Duties and responsibilities:

  • Does photocopying and simple document filing
  • Maintains stocks of consumables and ensures orders are placed when necessary and makes certain that printers and other office equipment are always ready for use (enough paper, ink, toner, etc.)
  • Carries out very minor maintenance work on office equipment (paper jams, staple jams, etc.) and liaises with the relevant department if further repairs are necessary
  • Prepares and installs material for conferences, seminars, etc.
  • Is responsible for the proper handling and storage of items in the Premises store in accordance with standard operating procedures (SOPs) and s/he is accountable for all discrepancies between actual and recorded stock balances
  • Receives and checks incoming Premises related items (maintenance stock, hygiene items, coffee station items, furniture, etc) against the delivery note and reports any issues
  • Monitors the stock and notifies the premises team when needed items must be reordered, ensuring the stock is complete all year round
  • Ensures proper storage of items, making sure they are adequately labelled, recorded, stored orderly and neatly, and protected from heat, cold, water, fire, dirt, etc; s/he immediately reports any damage or any other issues
  • Prepares quarterly statistics with accurate data and details consuming rates for each premise/maintenance
  • Updates bin cards and stock cards when supervising an inventory transaction and participate in inventory counts
  • Is responsible to lock the Premises store whenever no staff is present, and s/he must control all visitors when entering the Premises store 

 
 Minimum Qualification, Skills and Experience Required:

CERTIFICATIONS / EDUCATION REQUIRED

 

  • Secondary school diploma.
  • Good command of written and spoken English.
  • Good computer skills.
  • Able to use office equipment (computers, switchboard, printers, photocopiers, fax, etc.).

 

 

PROFESSIONAL EXPERIENCE REQUIRED

 

  • 2 years' work experience in a similar position with minimum one year's experience in storekeeping.
