 Background:

The Sudanese Red Crescent Society (SRCS) was established by a resolution of the Council of Ministers in 1956, in line with international legislation requiring the creation of national societies in independent states, as stipulated by the Four Geneva Conventions of 1949.

The national society delivers a wide range of humanitarian services through its network of volunteers across all Sudanese states, operating strictly in accordance with the seven Fundamental Principles of the International Red Cross and Red Crescent Movement. These principles, particularly independence, neutrality, and impartiality ensure that humanitarian assistance reaches those in need without discrimination and free from any political, religious, ethnic, or sectarian agendas.

SRCS also implements numerous joint activities in collaboration with various ministries and relevant stakeholders and operates through 18 branches, ensuring coverage across the entire country.

 

Implement plans and instructions, organize and manage the affairs of the Office of Senior Management and assist the Secretary-General or the Executive Office of the Secretary-General in routine work and ensure the application of the system approved by the Office of Senior Management.



 
 Duties and responsibilities:

  • Preparing the monthly schedule of the Office of the Secretary-General 
  •  Preparation of the weekly work plan of the Office of the Secretary-General 
  •  Maintaining the general appearance of the senior management office in terms of cleanliness and tidiness
  •  Receiving and welcoming visitors from senior management
  •  Coordinate the interview schedule of the Secretary-General or the Executive Office
  •  Editing and printing letters and correspondence of senior management.
  •  Maintaining and maintaining all files of the Senior Management Office in a way that ensures their safety and prompt recall.
  •  Receiving and directing the mail and fax received in the name of the senior management and presenting it to the specialist and indexing these documents
  •  Receive, forward, and send e-mails of senior management and index these messages.
  •  Registration of mail and faxes issued by the Office of Senior Management and indexing of outgoing faxes
  •  Writing the minutes of all meetings and sessions in which the Secretary-General is  a party.
  •  Preparing for the meetings of the senior management or periodic meetings and coordinating and preparing all documents and documents related to the subject of the meeting.
  •  Assist senior management in all work not included in this description upon the request of the management.
  •  Receiving and making telephone calls to the senior management office and indexing phone numbers and addresses.
  •  Organizing and indexing internal reports received from other departments and sections, presenting them to the Secretary-General or the Executive Director, following up on the decision of the Secretary-General or the Executive Director thereon, and recording them in their respective records.
  •  Ensuring that all office and electrical appliances are in a working condition continuously, requesting maintenance officials from inside and outside the SRCS, and following up the maintenance work for all office devices in the senior management office.
  •  Ensuring the availability of all office and clerical tools for senior management and staff in the senior management office.
  •  Sending invitations to the participants in the meetings called for by the Secretary-General or the Executive Director and recording this on the special forms.
  •  Booking of travel tickets, hotels, exhibition passes for senior management and organization of business trips
  •  Educating and guiding the assistant secretarial personnel and improving their job level in a way that qualifies them to assume responsibility after promotion and submit their performance appraisal reports.
  •  Write a weekly report to indicate what has been done and what has been postponed with a statement of the reason. 
  •  All of the above must be done in accordance with the official procedure approved by the Executive Secretariat.
  •  The Executive Secretary is responsible for keeping all records of the quality forms of the Executive Secretarial Procedure and all his work is subject to internal audit.
  • Perform all the work assigned to him by the line manager, the secretary general or the chairman of the board of directors.

Any other administrative tasks assigned to them.


 
 Minimum Qualification, Skills and Experience Required:

  • Bachelor's in business administration or related field 

At least 5 years of experience in managing and voluntary humanitarian organizations
