In close collaboration with Operations and HR teams, ensure all MSF staff obtain required visas, stay permits, and travel permits on time; maintain up-to-date information on relevant legal and administrative procedures.
Keep project management informed about ongoing processes, specific cases, or procedural changes related to visas, travel permits, cargo permits, and other administrative authorizations.
Track vehicle movements to monitor incoming and outgoing staff and visitors.
Coordinate regularly with Logistics and HR teams to stay informed on staff and vehicle movements.
Apply for entry, exit and internal movment permits for staff, visitors, and cargo, and ensure timely follow-up with HAC. Ensure compliance with authorities’ requirements.
Coordinate with the Admin Coordination team regarding travel permits (TPs); once travel permits are received, initiate entry/exit permits with authorities for staff as required.
Conduct frequent visits to HAC to validate official documents, including those related to recruitment.
Stay updated on all project movements in and out of Khartoum State and ensure that all vehicles, drivers, passengers, and cargo have valid and approved travel documentation (entry permits, exit permits, etc.).
Ensure all staff, visitors, and vehicles possess the required travel permits for movement to project locations and key areas within Khartoum State.
Keep all documentation and files updated, properly filed and easily accessible for the internal users.
Support the HR and Finance teams with ad hoc administrative tasks.
Any other tasks assigned by supervisors (Hierarchicalm/ Functional)
Minimum Qualification, Skills and Experience Required:

Education
Secondary education essential. Administration or communication related studies desirable
Experience:
Essential previous experience of at least one year in related relevant positions, in MSF or other NGOs.
Language
Local language required; advanced or intermediate level in English (project language)
