 Background:

Job Summary

The Administrative Manager is responsible for managing and delivering responsive, effective, and efficient administrative services to support the successful implementation of the Thabat Project in Medani. This includes oversight of office administration, establishment of new offices, guest house management, staff visa and work permit tracking, fleet management, and representation with the Humanitarian Aid Commission (HAC) and other government entities. The Administrative Manager ensures that stewardship of resources, accountability, and high-quality service approaches are integrated into all administrative systems, policies, and procedures, thereby contributing to smooth, compliant, and efficient project operations.



 
 Duties and responsibilities:

Roles and Key Responsibilities:

  • Act as focal point with HAC and represent the office in relevant forums and external engagements.
  • Ensure administrative systems, processes, and policies are in line with agency standards and donor and local law regulations. 
  • Recommend changes in office practices and coordinate revision of systems, policies, and procedures to contribute to operational excellence. 
  • Oversee negotiation, renewal, and compliance of lease agreements, utilities, and service contracts for office premises.
  • Ensure effective daily management of office operations, including allocation, utilization, and maintenance of office space and facilities.
  • Plan, coordinate, monitor and report on activities and required resources to ensure cost-efficient and quality service delivery from administrative support functions. Anticipate delivery challenges to ensure service continuity.
  • Provide guidance, oversight, and performance management to the Admin Officer, ensuring effective delivery of administrative functions.
  • Coordinate the administration function to ensure support services are delivered with high quality in an efficient manner. Help address challenges that affect the proper stewardship and optimal utilization of program assets and resources. 
  • Oversee the efficient use and management of CP assets and rented facilities. Ensure fully compliant procurement for office supplies and asset management systems. Organize inventory monitoring, control, and reporting.
  • Serve as the key liaison and maintain relationships with relevant external stakeholders (landlords, service providers, etc.) on assigned administrative matters and ensure required authorizations and documents are up to date.
  • Help ensure staff have access to relevant information, training, and safety materials and equipment to ensure a safe and sound work environment.
  • Manage the provision of travel and support and services to staff and visitors. Manage event planning activities, including delegation visits, training, and workshops.

 


 
 Minimum Qualification, Skills and Experience Required:

Basic Qualifications:

  • Bachelor degree in business administration or another relevant field. 
  • Minimum of 7+ years’ work experience in administrative support functions, with increasing responsibility with INGOs.
  • 3 Years’ management experience, proven experience managing large facilities.
  • Professional English and Arabic skills. 
  • Proficient in MS Office packages (Excel, Word and PowerPoint) and information management systems.

  • Very good planning, organizational and time management skills
  • Ability to make sound judgment and good decisions
  • Strong customer service orientation with very good communication and interpersonal skills 
  • Ethical conduct and ability to maintain confidentiality 
  • Proactive, resourceful, solutions-oriented and results-oriented

 

Required Languages - Fluent written and spoken Arabic and professional level of written and spoken English required.

 

Travel - Position is based Madani, must be willing and able to travel up to 20% to project areas
