 Background:

 

The Danish Refugee Council (DRC), one of the world’s leading NGOs, with a focus on responding to displacement, have been registered in Sudan since 2004, delivering life-saving programming in protection, emergency response, shelter, food security and livelihoods, disaster risk reduction, camp management, and humanitarian mine action. DRC has implemented projects in Central Darfur, South Kordofan, Gedaref, Port Sudan, and White Nile. Sudan hosts one of the largest displaced populations in Africa, with over 3.7 million internally displaced people and over 1.1 million refugees from South Sudan, Ethiopia, Eritrea, Central African Republic, Chad, Yemen and Syria. Against a background of political crisis, Sudan faces economic and social turmoil, with sharp increases in food and energy costs, further exacerbated by disease outbreaks and ongoing conflict.

 

POSITION PROFILE

 

Overall purpose of the role: 

The Finance Assistant will be primarily responsible for maintaining cash management, processing payments and transfers, and recording financial transactions in the ERP system. Additionally, this position is responsible for updating and maintaining the document archive, ensuring all records are accurately tracked and organized.



 
 Duties and responsibilities:

To achieve the overall and specific position’s objectives the job holder tasks and responsibilities include, but are not limited to:

 

Cash and payment Management:

  • Assist in handling cash transactions and maintaining accurate cash books.
  • Conduct regular cash counts and prepare cash reconciliation reports.
  • Ensure proper cash handling procedures are followed to maintain security and accountability.
  • Process banking and petty cash payments as needed.
  • Review payment documents for accuracy, compliance with DRC/donor policies, and completeness before processing.
  • Ensure timely and accurate execution of financial transactions, including transfers and payments.

Financial Transactions Recording:

  • Record all financial transactions in the ERP system accurately and promptly.
  • Maintain an up-to-date record of all financial activities and ensure all entries are supported by appropriate documentation.
  •  Ensure all transactions are correctly coded and posted to the appropriate accounts.

Document Archiving:

  • Update and maintain the document archive, ensuring all financial documents are accurately filed and easily accessible.
  • Scan and upload documents into the ERP system and ensure proper referencing and organization.
  •  Maintain an efficient archiving system for transaction vouchers and other financial records, ensuring compliance with organizational policies.

Audit Support:

  • Assist in preparing for donor and financial audits by retrieving requested vouchers and documents.
  • Liaise with related parties to address any discrepancies or missing files.
  • Ensure all required documentation is available and organized for audit purposes.

General Support:

  • Provide support to the field offices in all matters related to finance.
  • Perform other finance-related tasks as assigned by the management.

 
 Minimum Qualification, Skills and Experience Required:

  • Strong analytical and conceptual skills.
  • Advanced skills in Excel and accounting systems.
  • Good background in accounting and financial skills.
  • Stable and robust character.
  • Proven Management and supervision skills, team player and proven commitment to accountability practices

EDUCATIONAL QUALIFICATIONS

  • Degree in Finance or Accounting with working experience with NGO in Finance roles.

LANGUAGES  

  • Fluency in Arabic 
  • average level in English.

Salary and conditions will be in accordance with Danish Refugee Council’s Terms of Employment for national employees.
