MSF-Swiss is seeking to employ 1 (one) qualified candidate in the Khartoum Project for the position of Supervisor Medical Data Entry. Interested applicants may find the detailed job description of this position below.



 
 Duties and responsibilities:

Main Purpose of the position:

Ensure completion of all activities related to medical data entry and data management into the mission database. Supervise, organise and plan the activity of Data Entry officers/operators, as well as identify their training needs in order to provide a good service support and reliability of the data collected.

 

 

Key Responsibilities:

  • Supervise, organise and plan the activity of Data Entry officers to have a reliable record of medical activity performed, as well as identify their training/technical support needs in order to provide a good service support and reliability of the data collected.
  • Ensure collation and entry of all data identified by project managers for collection (e.g. morbidity, mortality, surveillance of diseases of epidemics, nutrition, psychological and women’s health, etc) into the appropriate data management system while ensuring quality of data
  • Do quality control data officers’ performance on regular basis
  • Know and ensure proper use of software used for recording (i.e. Fuchia, Epi Info, etc.).
  • Ensure accuracy of the medical data entered into the mission’s database on a regular basis, according to MSF protocols and carry out regular back-ups.   Provide technical support to data entry officers/operators in project sites and give response to their training needs.
  • Provide regular statistical reports for the medical team as well as informing the superior of any missing information, major changes or big differences in data
  • Data Collection and Quality Assurance – Supervise the daily collection of medical and program data from all relevant service points (Hospital, PHC and Community Activity).
  • Data Entry and Database Management – Oversee the timely and accurate entry of data into digital systems (e.g., Excel, DHIS2). Ensure that monthly, weekly and daily data are up to date.
  • Reporting and Data Analysis – Compile, analyse, and visualize routine data into weekly, monthly and reporting to PMR. Produce summaries, dashboards, and charts to support program evaluation and operational decision-making. Highlight trends, alerts, or anomalies in the data and communicate findings to relevant medical or operational staff.
  • Supervision and Support to data clerks and record-keeping staff – Organize on-the-job training to strengthen skills in accurate data recording, register usage, and form completion. Monitor and ensure proper use of data tools and templates, providing refresher training as needed.
  • Coordination and Collaboration – Work closely with the Nurse Activity Manager and Medical Activity Managers to address data quality gaps. Participate in data review and planning meetings to support program improvements. Support MoH data collaboration and alignment when required, respecting confidentiality and data-sharing agreements.
  • Confidentiality and Ethical Data Use – Maintain the confidentiality of patient data and program-sensitive information.

 
 Minimum Qualification, Skills and Experience Required:

Qualifications and requirements:

Education: Secondary education or qualifications either in administration, data entry or in statistics. Essential proven computer literacy; degree in Information and Technology (IT) desirable.

Experience: Essential working experience in a position related to ICT Supervisor; Experience with MSF or other NGOs considered very beneficial

Language: Fluent spoken and written English and Arabic

Knowledge: 

  • Essential knowledge of use of computer including processing of documents (Word, Excel).
  • Desirable knowledge on medical statistics data bases.
