 Background:

The Organization

 

Search for Common Ground (Search) is an international conflict transformation NGO that aims to transform the way individuals, groups, governments and companies deal with conflict, away from adversarial approaches and towards collaborative solutions. Headquartered in Washington DC, USA, and Brussels, Belgium, with 55 offices in 34 countries, Search designs and implements multifaceted, culturally appropriate and conflict-sensitive programs using a diverse range of tools, including media and training, to promote dialogue, increase knowledge and determine a positive shift in behaviors. Operating in Sudan since 2009, Search has developed and implemented innovative peacebuilding programs in collaboration with local Sudanese NGOs. Our work in Sudan seeks to empower women and other marginalized groups and encourage greater inclusivity in the peace processes and governance in Sudan. 

 

The Role

 

The Grants and Reporting officer will be responsible to produce timely donor and other reports in collaboration with the Project Team and the Regional Support Team. S/he will assist the Project Team and the Regional Support Team in project documentation and developing visibility pieces. They will be playing a key role in building and managing donor relations. This includes handling timely communication with Search’s donors, ensuring high levels of accountability and trust. They will also provide technical support to the management of Search’s grants in Sudan, including the use of Search’s grants management tools, as well as compliance with Search and donor policies and regulations


 



 
 Duties and responsibilities:

  • Essential Duties and Responsibilities

Reporting

  • Produce reports based on activity and field reporting, as well as other communication with program staff; in cooperation with project management, finance, monitoring and evaluation, and other field coordination departments. Timely delivery of the reports in line with donor obligations is critical
  • Collaborate with program implementation teams and partners to ensure that activity reports are complete, respond to Search’s reporting standards, and are filed in their respective project folders
  • Produce communication documents and visibility pieces (updates, profiles, success stories, etc) to be shared with donors, INGOs, and relevant stakeholders.
  • Produce regular project updates and activity information for key donors.
  • Review and give feedback to partners on their narrative reporting, making sure that information from the partners reports are updated in all project implementation trackers and tools and that the partners reports comply with the donor requirements.
  • Addressing ad hoc donor requests about the reports.

Donor Communication

  • Liaise with Search’s donors, including answering their emails, providing the information they request as well as proactive updates on Search’s programming and contextual changes.
  • Participate in relevant donor coordination meetings and share notes and updates with program implementation teams, CEA regional team and CD.
  • Support donor meetings and visits in Sudan, in collaboration with Search’s CD.
  • Ensure that official donor communication records are filed and up-to-date.

Grants Management

  • Review donor contracts and ensure that program staff are aware and supported in meeting the terms and conditions for each project.
  • Support production of TORs and selection and contracting processes for partners and consultants.
  • Support the adoption of key grants management tools, including Project Management Tools (PMTs), start-up and close-out processes, learning and adapting tools, etc. 
  • Provide technical support to the quarterly PMT updates and their uploads into Search’s internal grants management systems. Participate in PMT reviews and analyses to identify possible over/under expenditure and ways forward.
  • Provide timely and periodic reports to management to flag potential grants management issues and support their troubleshooting.
  • In consultation with the Senior RPM, provide technical support, and coaching to the sub-grantees to ensure full compliance with the donor requirements.
  • Help to share information about new global grant management procedures with the team in Sudan.

 Minimum Qualification, Skills and Experience Required:

Required

 

A bachelor’s degree in administration, finance/program management, or economics, or another relevant subject

 

Knowledge, Skills and Abilities

  • Minimum three years of work experience supporting finance or program operations, and coordinating grants or activities of local organizations
  • Experience working in the relevant field of peacebuilding, social cohesion or development
  • Understand and hold strongly organization and donor policies and support grantees to understand these
  • Understanding and experience of negotiation and finding collaborative solutions to diverse or conflicting perspectives
  • Demonstrate attention to details and procedures, and able to meet deadlines and work independently and cooperatively with team members
  • Strong writing skills and experience with report writing for international donors, with the production of communication and external materials and activity reports
  • Proficiency in all computer related tasks including Word, Excel, and PowerPoint is strongly desirable
  • Excellent organizational and communication skills
  • Flexibility and adaptability are essential, as well as the ability to plan, take initiative and organize work independently
  • Demonstrated ability to be proactive and self motivated
  • Proficiency in English and Arabic, written and spoken
  • Knowledge of local languages will be an added advantage
