Fleet Administrative Assistant

 Background:

The International Committee of the Red Cross (ICRC), an impartial, neutral and independent organisation striving to protect and assist the victims of war and internal violence, has been working in Sudan since 1978. The ICRC is looking for an enthusiastic and motivated person to fill the position of Fleet Administrative Assistant in Khartoum.

 

Purpose:

The Fleet Administrative Assistant provides secretarial and/or administrative support to the delegation’s Fleet team. S/he prepares and updates documents for delivering the Fleet services autonomously, in line with the standards, ICRC’s rules, procedures and regulations.



 
 Duties and responsibilities:

  • Updates and retrieves data in/from the unit tools and databases.
  • Carries out administrative follow-up on Fleet-related issues in the sub delegations
  • Provides administrative assistance to the Workshop storekeeper
  • Follow-up on specific processes such as the vehicles insurance contracts, validity and renewal for vehicles, claims and cases, (de)registration processes, necessary licenses to operate vehicles.
  • Follows-up the vehicle periodic maintenance schedules.
  • Provides business reports and statistics on vehicle use and drivers’ activities. Where possible, integrates costs elements.
  • Updates the timeline, tables and charts, schedule and other tools and ensures invoices are followed up on.
  • Creates and maintains paper or electronic files up to date.
  • Drafts and finalizes correspondence, bordereaux, internal presentations, meeting minutes and other documents; shares information among users.
  • Carries out secretarial tasks such as making photocopies, destroying documents and managing stationary stocks.
  • Ensures the distribution of electronic messages and paper documents within the unit
  • Ensures that all workshop safety and security measures & regulations are properly used and respected.

 
 Minimum Qualification, Skills and Experience Required:

  • High school certificate or any other Secretary Qualification and training
  • 2 years’ experience in secretarial, administration, office or service management, or in a similar field.
  • Very good command (spoken and written) of English and Arabic;
  • Good Computer skills, including Microsoft Office suite, SharePoint and IBM Lotus Notes.
  • Ability to work in an independent and disciplined manner;
  • Strong organizational skills and ability to set priorities and use initiative.
  • Driving license, succeeded in ICRC driving test
