 Background:

The International Committee of the Red Cross (ICRC), an impartial, neutral and independent organisation striving to protect and assist the victims of war and internal violence, has been working in Sudan since 1978. The ICRC is looking for an enthusiastic and motivated person to fill the position of Administrative Assistant for its office in Nyala

 

Purpose: ​

The Administrative Assistant 1 is responsible of preparing, reconciling and analysing the accounting records and financial reports of the Nyala Office. He/she ensures Welcome activities are organized smoothly, including coordination of travel arrangements. He/she maintains responsible for the passive and active security activities of the premises. He/she does any other administrative tasks under the guidance of the F&A Manager and his/her supervisor accordingly.



 
 Duties and responsibilities:

  • Prepares and posts accounting entries in the accounting software on a regular basis.
  • Ensures accuracy and completeness of accounting transactions in accordance with financial procedures.
  • Helps ensure that operations run smoothly through efficient cash-flow management, covering the fund needs of Nyala office
  • Always keeps files up to date and guarantees proper filing of relevant supporting documents for future reference, including audits.
  • Performs integrity checks of accounting entries made on a regular basis.
  • Participates in monthly closing activities.
  • Knows, applies and complies with all administrative and financial procedures and deadlines linked to his/her work.
  • Identifies anomalies or other issues and reports them to his/her supervisor.
  • Is responsible for welcome services in Nyala office and the preparations to receive visitors.
  • Seeks validation and approval of travel permits and registrations by the local authorities.
  • Under the supervision of Administrative Assistant 2, maintains up to standards all premises, organizing constructions when necessary, following up on the passive security and other general problems.
  • Contributes in keeping the admin stocks (furniture, cleaning products, some IT, etc.).

 
 Minimum Qualification, Skills and Experience Required:

  • University degree in Business Administration, Finances. Accounting and Economics
  • Additional vocational training in accounting, bookkeeping or similar fields.
  • 1-2 years of experience in finance, accounting, bookkeeping, bank industry, administration or similar position.
  • Very good command of English, spoken and written. Knowledge of local languages is an asset
  • Expert level in computer skills
  • Experience of international organizations an asset.
  • Sound knowledge of accounting software.
  • Skilled in the following competencies: Leadership, Accountability, People management, Teamwork & Collaboration, Representing the ICRC, Beneficiary & Client focused.
