 Duties and responsibilities:

Warehousing Management

  • Stores Management: of Stores/warehouses supervision (all stores in Khartoum locality), including maintaining proper store records, proper stacking, proper ventilation, proper safety and security measures, etc.
  • Consignee: serve as consignee for the physical receipt/count of all equipment/goods, received from suppliers and/or sent from Field to Khartoum state for maintenance or any other purpose and responsible to dispatch them after maintenance.
  • Make sure the store keeper is issuing the Good Receipt Note (GRN).
  • Dispatch and transportation of goods & supplies: Responsible on making sure that the store keeper Performs the tasks for transportation from Khartoum of purchased/acquired Goods & supplies. Responsible for preparation of the required detailed waybills. Follow up the loading processes and the communications with transporters and the point of delivery, until the receipt of GRN and/or authenticated waybill(s).
  • Reporting: responsible on making sure of the reporting on stock status and consumption tracking of all goods, supplies and items in the entire store in Khartoum
  • Stock replenishment: maintain records of the desired minimum & maximum level as per Agency standards. Follow up on the process of replenishment of stocks of all items in the store.
  • Gate Pass: prepare gate pass to be approved for all items leaving the Office premise, and ensure adherence by all.
  • TIM: Attain TIM training and further work on data provision for TIM warehouse Report.
  • Conduct inventory audits to determine inventory levels and needs. 
  • Ensure medicines and medical supplies, including cold chain items, are properly stored.
  • Supervise the daily entry and dispatch of medicines from the Stock.
  • Check that dead-lines of medicines deliveries to the partners are respected. Perform Spot checks.
 

Under the direct supervision of the Country Supply Chain Mananegr to;

  • Ensure all vehicles are mechanically sound and in good condition at all times according to drivers standing instructions. 
  • Ensure that all drivers adhere to SCIS policy and procedures for vehicle services maintenance and conduct driver’s performance reviews.
  • Ensure vehicles hired by projects have agreements and payment made as agreed and on time.
  • Allocate vehicles for Khartoum program by ensuring they are assigned as per program needs and that the vehicles are fuelled on specified days and fuel liters recorded in the logbook.
  • Ensure vehicle insurances and road licenses are renewed when they fall due and copies of the same are properly filed.
  • Prepare and follow up arrangements for land/air transport of goods and material from HQ to FOs, in direct relationship with the Country Supply Chain Manager.  
  • Prepare the necessary documents and logs. for producing the fleet monthly reports.

 

Asset Management

  • Under the direct supervision of the Country Supply Chain Manager to work on performing the Periodical Physical Asset inventory and,

Prepare the updates for the inventory assets register (including tagging and receiving assets disposal forms).

  • Assist with the HAC annual and bi-annual reports for assets, and donor report on asset section when required.
  • Assist with ensuring all SCI Assets are updated on a monthly basis.
 

Procurement and Facilities Tasks

  • Under the direct supervision of the Country Supply Chain Manager to perform dispensing/clearing of requested (petty cash(advance) ) for any required logistics work. (Such as advance/instantly paid fees with Traffic Authorities, Casual labor for loading/offloading …etc.)
  • Vehicle and generators supplies: monitoring fuel, lubricants, vehicle and generators spare parts and related supplies and produce periodic consumption report/stock status report.
  • Assist & Follow up the with procurement process to ensure availability of all claims supporting receipt documents as to be paid within the SCI payment terms.
  • Work closely with Procurement to order and receive items and equipment.
  • Troubleshoot any vendor delivery issues and oversee/follow up on the return process.
  • Prepare complete documentation for procurement of medicines and medical supplies.
  • Prepare payment dossiers (the complete documentation above plus signed delivery notes, packing lists, original invoices and demand for payment forms) for medicines and medical supplies.

 

Child Safeguarding

  • Act as an ambassador for child safeguarding in both professional and personal life. Never abuse position of trust and authority.
  • Keeping children we work with safe from deliberate harm/risk or inadvertent harm/risk. This is a top organizational and personal commitment, and the standards of behavior towards children expected by the organization should reflect both in your personal and professional life.
  • Behave towards children in a way, which reflects the Code of Conduct, CSG Code of Conduct and Child Safeguarding Policy.
  • Report any CSG issues or concerns in a timely way according to the Country reporting system and procedures. (At least two reports per year). Ask if unclear on anything to do with child safeguarding, such as which concerns should be reported, how to report concerns and how to respond to them.
 

 


 
 Minimum Qualification, Skills and Experience Required:

  • Bachelor Degree in Pharmacy. An MBA is desirable
  • . 1 to 3 years, proven experience in administrating Supply Chain functions: -  Warehousing, Fleet, Procurement and Asset Management with regards to the medical supply chain.
  • Good command in and ability to understand Supply Chain issues.
  • Able to work under pressure, able to multitask, excellent team player and able to work in a multinational environment
