At WFP, we are looking for experienced Logistics Assistants (Fleet Operations), to join our Logistics team in El Fasher in Sudan to be hired on a Service Contract at SC5 level.



 
 Duties and responsibilities:

JOB PURPOSE

To implement well-defined standard logistics/supply chain processes and activities related to transport or fleet management to enable effective delivery of goods and services for all delivery modalities. 

KEY ACCOUNTABILITIES (not all-inclusive)

  • Manage and be accountable for the vehicle fleet, ordering and inventory management of all vehicle related parts and consumables, including fuel.
  • Perform daily data analysis in Fleet Management System (FMS) to ensure fleet data is up to dated
  • Closely work with the logistics officer /Fleet staff and enhance effective utilization of the trucks as per the allocation and dispatch plan.
  • Effective fuel management as per established Standard Operating Procedure (SOP). Ensure that all trucks are fuelled on time and that fuel consumption figures are constantly monitored and maintained within parameters set and report any irregularities to immediate supervisor.
  • Constantly track and monitor in transit trucks through GPS tracking system, phone calls, and report any irregularities and deviations to Logistics officer for action
  • Coordinate and Support on the allocation and dispatch plan and properly follow up and control
  • Properly monitor all Vehicle administrative documents (Vehicle Logbooks, Fuel Vouchers and Waybills…) accurately and correctly and in turn, hand them over to Data Entry Clerk on a timely basis.
  • Produce and submit weekly and monthly utilization report to Logistics officer.
  • Provision of guidance and training on the planning and reporting systems to all fleet staff
  • Ensure that all the necessary permissions / documentation is promptly obtained from logistics operations to operate the fleet efficiently.
  • Organize Convoy’s and Route Planning along with Logistics officer when/ if required.
  • Liaise with Logistics operations as well as Logistics officer to obtain Weekly / Monthly Transport Plans to ascertain projected tonnages and measure these against actual tonnages moved.
  • Ensure that trucks are well maintained and road worthy all the time.
  • Effective cost management through analysis of all purchases using petty cash
  • Perform any other related duties as assigned by the Logistics Officer.

 


 
 Minimum Qualification, Skills and Experience Required:

STANDARD MINIMUM QUALIFICATIONS:

Education: Completion of secondary school education. A post-secondary certificate in the related functional area for example in managing transport or fleet services is desirable.

 

Experience: At least four years of progressive working experience in general Logistics, supply chain, and transport/fleet operations in a busy environment.

 

Language: Fluency in both English and Arabic.

 

DESIRED EXPERIENCES FOR ENTRY INTO THE ROLE

  • Experience using corporate systems to monitor ongoing shipments, pipeline information, insurance claims, and food stock.
  • Experience analysing data (on commodities, funds, etc.) and drafting reports.
  • Experience in measuring service providers’ performance against set KPIs.
  • Experience in assisting the preparation of contract documentation.
  • Experience in providing technical business support in corporate systems.
