 Background:

The International Committee of the Red Cross (ICRC), an impartial, neutral and independent organisation striving to protect and assist the victims of war and internal violence, has been working in Sudan since 1978. The ICRC is looking for an enthusiastic and motivated person for the following position in Khartoum: Physical Rehabilitation Program Administrative Assistant

 

Purpose:

Physical Rehabilitation Program (PRP) Administrative Assistant assists in the development and follow up of PRP activities in Sudan, contributes to the implementation and running of specific projects, mainly independently. Contributes to PfR and budget follow up. Develops and maintains contacts with authorities and others PRP interlocutors at various levels and support PRP Department in deploying ICRC Operational tools like MAD, PMS, and GDE. Support partners in deploying and use of PMS, MAD and Easy-Ortho

 



 
 Duties and responsibilities:

Ÿ  Follow-up on the deployment and operation of the PRP Patient Management System (PMS) in all ICRC supported structures

Ÿ  Updates and retrieves data in/from specialized tools and databases such as MAD, PMS and Easy Ortho.

Ÿ  Support PRP colleagues and Partners in preparing and publishing Medical Assistant Data (MAD) monthly reports in a timely manner.

Ÿ  Work closely with PRP Manager and PRP team to prepare annual PRP material order from GVA

Ÿ  Work closely with PRP team and partners to prepare the bi-annual SR for ICRC supported Physical Rehabilitation Centers (PRC) material orders

Ÿ  Analise data related to material consumption, registered services, share data within PRP and with partners and produce related reports

Ÿ  Conducts field trips and visits to NAPO State Physical Rehabilitation Centre’s (SPRCs) to establish and follow-up on stock management and PMS.

Ÿ  Organize and conduct short trainings related to PMS, MAD and stock management

Ÿ  Issues documents and routine correspondence related to the department (donation certificates, all statistics, all departments SR’s, routine letters, etc.)

Ÿ  Drafts the yearly GVA annual order and oversees the needs of NAPO Khartoum and SPRCs imported materials and equipment.

 


 
 Minimum Qualification, Skills and Experience Required:

Ÿ  Bachelor’s Degree, some college coursework completed, an Associate Degree or equivalent higher education degree in administration, logistics or similar field.

Ÿ  5 years’ experience in logistics, business administration, office or service management, client or public relations, or in a field related to the work of the department.

Ÿ  or similar position

Ÿ  Fluent command of Arabic language as well as English

Ÿ  Expert level in computer skills, including Microsoft office suite, SharePoint and IBM Lotus notes

Ÿ  Driving License

Ÿ  Ability to travel within Sudan and overnight in the field (1 – 7 days)

Ÿ  Skilled in the following competencies: Initiative taking, Leadership, assuming responsibility, Accountability, People management, Team work & Collaboration, Representing the ICRC, Beneficiary & Client focused.
