 Background:

Responsibilities and related tasks

Under the supervision of the Logistics Manager based in Geneina, the Logistics Officer in Tawila is responsible for implementing and overseeing day-to-day logistics operations in accordance with TGH internal procedures and donor regulations. The role involves responsibility for base-level logistics activities including premise and utility management, procurement, fleet and transport coordination, stock and asset management, ICT support, and documentation. The Logistics Officer is expected to demonstrate professionalism, integrity, and a strong commitment to TGH?s humanitarian principles.

 

1. Premises & Utilities Management

-Ensure the smooth running and proper setup of TGH Tawila office and guesthouse facilities, including the availability of utilities (electricity, fuel, water, gas, internet).

-Anticipate needs and proactively plan procurement of essential office supplies (stationery, cartridges, cleaning materials).

-Oversee repairs and maintenance of premises, coordinating with landlords and service providers where applicable.

-Ensure the proper functioning, daily monitoring, and maintenance of generators and solar systems.

-Supervise and manage support staff at base level (guards, cleaners), in coordination with HR/Admin and the Logistics team in Geneina.

-In collaboration with the Field Coordinator and Access & Safety Manager, ensure the availability and functionality of safety and emergency equipment (fire extinguishers, hibernation kits, etc).

-Act as the base focal point for safety and security matters when requested.

 

2. Stock & Asset Management:

-Ensure safe and secure storage conditions of TGH stock either on premises or in joint/shared warehousing settings.

-Supervise receipt and dispatch of goods; verify quantity and quality; prepare and sign delivery documents (waybills, GRNs, in/out orders).

-Maintain and regularly update the asset register in accordance with TGH guidelines; ensure all assets are tagged and inventoried.

-Monitor and manage ICT equipment (printers, laptops, routers, etc.) in coordination with the ICT Officer. Provide basic troubleshooting and user guidance for field teams.

 

3. Procurement:

-Conduct procurement activities in line with TGH procurement policies and donor regulations under the supervision of the Logistics Manager.

-Prepare and maintain procurement files including PRs, quotations, evaluations, and purchase orders.

-Conduct market assessments to identify reliable suppliers and maintain an up-to-date supplier database.

-Support in supplier vetting, evaluation, and the establishment of Framework Agreements in Tawila, Nertiti, and other operational areas.

-Monitor supplier performance, track delivery schedules, and ensure timely reception of goods and services.

-Collaborate in developing procurement plans and providing pricing information for budgeting and planning purposes.

-Ensure proper archiving of procurement documentation, both in hard and soft copy.

 

4. Vehicle Management & Transportation:

-Coordinate daily vehicle movements and driver assignments; ensure efficient scheduling and fuel usage.

-Arrange inter-base and field movements (e.g., Tawila?Geneina, Tawila?Nertiti), including vehicle bookings and passenger lists.

-Conduct routine checks to ensure vehicles meet minimum safety standards (seatbelts, first aid kits, tire condition).

-Verify that all TGH vehicles are properly documented (registration, insurance, etc.).

-Support the acquisition of travel permits from relevant authorities for both staff and goods.

-Monitor staff movements, maintain regular communication with teams in transit, and report any incidents or loss of contact immediately to the Field Coordinator or Access & Safety Manager.

-Oversee the dispatch and delivery of supplies to field locations and ensure accurate tracking through packing lists and waybills.

 

5. Archiving & Reporting

-Ensure that accurate, complete, and up-to-date documentation is maintained for all logistics activities (procurement, transport, stock, fuel, utilities, etc.).

-Submit weekly and monthly logistics reports to the Logistics Manager as per schedule or upon request.

-Maintain audit-ready records in both hard copy and digital formats in accordance with TGH archiving standards.

 

6. Other Tasks:

-Ensure that accurate, complete, and up-to-date documentation is maintained for all logistics activities (procurement, transport, stock, fuel, utilities, etc.).

-Submit weekly and monthly logistics reports to the Logistics Manager as per schedule or upon request.

-Maintain audit-ready records in both hard copy and digital formats in accordance with TGH archiving standards.

 

7. PSEA & Safeguarding: 

-Promote awareness of TGH?s Code of Conduct and PSEA policy among local communities, project beneficiaries, and staff.

-Facilitate regular awareness activities regarding PSEA reporting mechanisms and child safeguarding principles.

-Ensure that TGH staff and partners in Tawila understand and implement the Child Safeguarding and PSEA policies effectively.

 



 
 Duties and responsibilities:

Required knowledge, skills and personal features:

Education:

  • University degree in Logistics, Supply Chain Management, Business Administration, Engineering, or a related field. Equivalent professional experience may be considered.

Experience:

  • Minimum of 1 year experience in a logistics, supply chain, or operations-related role. Experience with humanitarian or development NGOs is a strong asset.

Languages:

  • Proficiency in Arabic (written and spoken) is required.
  • Basic to intermediate English skills are essential, particularly for reporting and communication with the coordination team.

Technical and Soft Skills:

  • Solid knowledge of procurement procedures, transport coordination, and stock/asset management.
  • Basic mechanical, electrical, or ICT skills are advantageous.
  • Strong organizational and problem-solving abilities.
  • High computer literacy (Excel, Word, Outlook) is mandatory.
  • Excellent interpersonal and communication skills.
  • Demonstrated integrity, transparency, and ability to handle sensitive issues confidentially.
  • Flexibility, team spirit, and capacity to work under pressure in a challenging environment.

The Logistics Officer may be requested to undertake other responsibilities as per programmatic needs and in consultation with line management.
