 Duty Station: Tawila (Central Darfur)
 Closing Date: 25 August 2025

 
 Background:

Under the supervision of the Field Cooordinator, The HR & Finance Officer is responsible of handling efficient administrative and finance functioning of Tawila base. Here is a non-exhaustive list of dedicated tasks:



 
 Duties and responsibilities:

  1. Accountancy and Treasury management :
  2. Accounting& Financial Document:
  • Ensure the daily management of the cash box in Tawila.
  • Monitor cash advances to staffs and vendors on a weekly basis in collaboration with various departments.
  • Initiate cash request to coordination on a timely basis
  • Prepare all documents (including bank reconciliation and cash inventories) to close the accounts on a weekly and monthly basis in accordance with TGH procedures.
  • Ensure that accounting records are accurately maintained in the appropriate computer file(s).
  • Ensure timely payment of invoices in accordance with TGH financial policies.
  • Ensure the classification and archiving of the mission's monthly accounting documents (invoices, hard copies and related documents).
  • Provide support in accounting practices to TGH Sudan mission staff in the field, as required, including recommendations on the correct presentation of financial documents.
  • Prepare bank and cash reconciliations on a regular basis (at least once per month).
  • Ensure the monthly accounting documents (invoices hard copies/and related documents) of the mission are classified and archived in the drive ; 
  • Request & Monitor & Follow and make sure that all the accounting documents, soft and hard, from the bases, are sent on time and report accordingly;
  • Check and classify the entire financial document;
  1. Contribution to audit preparation 
  • Ensure rigorous internal financial control (compliance with TGH financial procedures and proper use of various tools).
  • Prepare and file invoices, purchasing files, human resources files and other documents requested for any financial audits, spot checks or evaluations to be carried out by donors.
  • Contribute to financial reporting and monitoring of donor funding contracts in liaised with the Financial Coordinator and other relevant colleagues.
  1. Human resources and Administration
  • Prepare and update all HR related files (data salary, travel allowance, daily worker follow-up);
  • Set up, manage and maintain personal folders for National Staff (leave requests, absences related documents and leave requests sick report, scratch card follow-up, valid ID card, etc.)
  • Ensure that all Tawila  staff folder are updated and completed (salary sheets, presence sheets, & salary payments).
  • Ensure Tawila daily worker follow-up, making sure the tool is correctly filled and the procedure for daily worker hiring is respected. 
  • Assist in recruitment process (documentation), sharing documents.
  1. PSEA & SAFEGUARDING:
  • Assist in the management of skilled and basic workers of the team.
  • Support and monitor that TGH staff respect the PSEA and Child Safeguarding guidelines.
  • Ensures that TGH staff and partners respect and implement the Child Safeguarding Policy
  1. Other duties
  • Perform other related duties as instructed by the Finance and the Human Resources Coordinators and also the Country Head of Admin, Finance & HR 
  • Any other task/duty that is necessary for TGH activities

4. Other tasks : 

  • Ponctual field mission to other central Darfur bases for finance and HR tasks follow up
  • Representing TGH to different local authorities and shareholders

 


 
 Minimum Qualification, Skills and Experience Required:

Knowledge and skills 

  • Bachelor degree in finance, human resources, Business administration or equivalent relevant working experience 
  • 2 Years experience in finance (compulsory). 
  • Relavant experience in administration is a plus 
  • Fluency in spoken and written English (compulsory)
  • Computer skills (Word, Excel, Outlook, Internet)
  • Excellent analytical and reporting skills
