Programme Assistant

The World Health Organization, Sudan Office is looking for a qualified candidate to fill the following post:

 Background:

Ensure effective and seamless administrative activities in WRO in the area of budget, finance, procurement, human resources, general administration through coordinating the administrative services, oversee that deadlines are met and timely actions are taken.



 
 Duties and responsibilities:

  1. Collect, register and maintains information on programme and project activities by reviewing reports and through first hand sources. Prepare periodic and ad-hoc reports on programme related activities. By collecting information mainly from records and reports.
  2. Contribute to the preparation of status and the progress reports by providing information, preparing tables and drafting selected sections of it. Prepare background materials for use in discussions, meeting and briefing sessions.
  3. Monitor budget implementation of the different awards and report to the supervisor accordingly on a monthly basis.  when required, ensure funds are distributed and budgeted in accordance with the donor agreement and expenditures are timely prepared. Support the donor reporting process.
  4. Keep track of the staffing and non-staffing contracts in place and report to the supervisor any actions required to be taken.
  5. Monitor implementation of the biennium work plans for which the Coordinator is responsible, ensures timely and accurate updating of GSM in this regard, including the technical monitoring module of GSM. Coordinate in the preparation of periodic progress reports on implementations (six monthly, annually, biannually) as per prevailing EMRO guidelines.
  6. Arrange appointments and maintain supervisor’s calendar, receive high ranking visitors, place and screen telephone calls and answers queries with discretion. Participate in the organization and preparation of staff meetings and other group educational activities or special meetings and take minutes and/ or notes. Prepare briefing materials for supervisor for use during official trips or special meetings.
  7. Receive screen, log and route correspondence, attach necessary information and maintain follow-up systems. Select and make pertinent abstracts and undertake searches for information. Draft/prepare on own initiative, correspondence, reports, evaluations and justifications as required on general administrative or specialized tasks which may be of a confidential nature within the assigned area of responsibility and ensure follow-ups. Maintain programme, policy, confidential and general management files.
  8. Take notes on a variety of subject matters and transcribe, type correspondences, documents and reports etc. some of which are highly confidential. Keep list of names, addresses and telephone numbers of high ranking government officials. Diplomats and UN specialized agencies, Make travel arrangements for the superiors and perform liaison duties with other units.
  9. Brief and assist other staff in the programme area, arrange for meetings on a day- to – day administrative matters, participates in discussions of new or revised procedures and practices, assist in the preparation of office budgets applicable to conduct/organization of several programme activities/meetings and maintain necessary budgetary control records.
  10. May be required to carry out specific administrative/operational/control tasks for programme/project activities.
  11. Perform other related duties, as advised by supervisors

 
 Minimum Qualification, Skills and Experience Required:

EDUCATION :

 

Essential : Completion of secondary education supplemented by training in administrative/secretarial field.

Desirable: University degree in a related field is an asset

 

 

 

 

 

EXPERIENCE

 

Essential: At least eight years progressive experience in administrative positions out of which at least one year closely related to support of programme activities.

Desirable: Relevant Experience in the UN system.

 

 

 

LANGUAGES

 

Excellent knowledge of English and Arabic. French is an asset.

 

Other considerations:

 

  • Excellent knowledge of Microsoft applications.
  • Knowledge and ability to operate ERP/Oracle applications is an asset
