 Background:

Scope of the Position:
Employee in this job coordinates office activities and performs secretarial assignments for professional or management staff in support of the on-going operations of the office.



 
 Duties and responsibilities:

  • Use computers for various applications, such as database management or word processing.
  • Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals.
  • Set up and manage paper or electronic filing systems, recording information, updating paperwork, or maintaining documents, such as attendance records, correspondence, or other material.
  • Administers and prepares the attendance reports.
  • Manage the employee’s sick leaves and vacations as scheduled
  • Advise managers and employees on the interpretation of policies, procedures and employee programs.
  • Create, maintain, and enter information into databases.
  • Maintain or examine the records of governmental payments.
  • Operate office equipment, such as fax machines, copiers, or phone systems and arrange for repairs when equipment malfunctions.
  • Greet visitors or callers and handle their inquiries or direct them to the appropriate persons according to their needs.
  • Complete forms in accordance with company procedures.
  • Schedule and confirm appointments for clients, customers, or supervisors.
  • Make copies of correspondence or other printed material.
  • Maintain scheduling and event calendars.

 
 Minimum Qualification, Skills and Experience Required:

Qualifications:
Bachelor/ Diploma degree

Experience:
The candidate must have a minimum of 1 - 2 years Relevant Experience.

Skills:
• Clerical.
• Customer and Personal Service.
• Administration and Management.

Job Details:
• Computer skills including the spreadsheet and word processing programs, and email.
• Fluent in English, both spoken and written.
• Free from national service.
