To contribute to the achievement of Country Plan objectives by supporting the planning, management, delivery and evaluation of Large Scale Projects and Local Cultural Relations Projects.

 

 

Context and environment:

 

British Council has operated in Sudan since 1947 with the aim of building cultural and educational relations between the Sudan and the UK. British Council Sudan is based in its Khartoum offices and offers a full range of British Council programmes including a Teaching Centre, Examinations, project management on behalf of other donors, and its own Grant-funded projects. We aim to increase our impact by working more closely with partners and putting a new focus on sales and finance/business improvement.

 

The post is placed within the Programmes Team responsible for managing a portfolio of Large Scale Projects (LSPs) and Local Cultural Relations Projects (LCRs) in the areas of Education and Society and the Arts. The Programmes Team consists of three Projects Coordinators reporting to three Projects Managers. Projects Managers report to the Director Programmes and Business Development who in turn reports to the Country Director to deliver the agreed portfolio of projects.  



 
 Duties and responsibilities:

This post will coordinate the delivery of a set of projects at the British Council office in Khartoum reporting to the Project Manager. The post holder will be accountable for the delivery of a high quality experience for customers, partners, clients and participants of British Council programmes. Key duties are:

  • Project & Contract Delivery: to deliver high quality events and project activity working with partners and stakeholders in order to meet sector and country plans. To co-ordinate venues, consultant logistics, guest lists, transport, accommodation, media coverage and photographers, programme development.
  • Marketing & Customer Service:  To work with the Project Managers to deliver communication services to all projects including media coverage, effective public relations and the production and distribution of communication products arising from project activity
  • Financial Planning & Management:   To create and maintain programme budget monitoring spreadsheets. To process, reconcile and record all financial transactions on delegated budgets. To complete monthly cash flow forecasts for approval and to handle all procurement related to the projects in line with British Council policies and procedures.
  • Scorecard Management:  To support the collection, processing and reporting of monitoring and evaluation data gathered from projects in support of Scorecard and other evaluation requirements, as needed.
  • Contacts Database Management:  To develop and maintain a contacts management database. To handle all correspondence related to project work and to manage financial filing system for all project activity

Key relationships:

 

The Programmes team plays a crucial role in delivering the British Council’s cultural relations activities in Sudan. Initiating and developing key relationships and partners is key to the successful delivery of our projects and all staff involved are expected to play their full part in this. Attention to detail, meeting deadlines, efficient communication and the building of effective relationships is therefore a priority for this post. Key relationships for the post include:

 

Internal:

Country Director, Programmes Team, Finance and Resources Team, Customer Services Team, Regional and global projects teams.

 

External:

Network of Partners and projects stakeholders, Funders of projects, local delivery partners, vendors / service providers.

University Degree in Project Management, Business or Social Studies.


Other important features or requirements of the job

Business support services work requires occasional work outside conditioned hours, for example in the evenings or at weekends. TOIL should be agreed with the line manager in advance to maintain an adequate work-life balance. Postholder may be required to travel abroad or to other offices in the region and should therefore hold valid travel documents.
