 Background:

The International Committee of the Red Cross (ICRC), an impartial, neutral and independent organisation striving to protect and assist the victims of war and internal violence, has been working in Sudan since 1978. The ICRC is looking for an enthusiastic and motivated person for the following position in Khartoum: Secretary II



 
 Duties and responsibilities:

Under the supervision of the Assistant (head of Secretariat office), the Secretary provides secretarial support to the Management and contributes to the smooth and efficient flow and sharing of information within the Units in Khartoum and offices in Sudan

 

Main Responsibilities:

  • Performs general secretarial duties independently
  • Maintains calendars and arranges meetings for the Management team (welcomes visitors, arranges professional trip / transport and deals with all logistical aspects)
  • Updated regularly the contacts list of the management
  • Ensures the distribution of electronic messages and paper documents
  • Drafts diplomatic correspondence and other communication in English and Arabic
  • Finalises the correspondence drafted by other departments to ensure the Protocol and format are respected
  • Translates simple documents  from Arabic to English and vice versa
  • Updates various information, documents and listing on internal databases and shared drives
  • Compiles various internal reporting
  • Maintains and updates filing system
  • Prepares and dispatch the greetings cards for the Management
  • Replaces staff members at the Secretariat office (Assistant and the other Secretary) when absen

 
 Minimum Qualification, Skills and Experience Required:

  • Secondary school diplomas or any other Secretary Qualification and training
  • Additional vocational training in administration, humanitarian work or equivalent field;
  • 3-5 years experience in administration, office or service management, client or public relations, or in a field - experience in a similar position is an asset;
  • Proficiency in spoken and written English and Arabic;
  • Good computer skills in particular Microsoft Office 2013 (Word, Excel, PowerPoint) and Lotus Notes
  • Interest and skills for training of users;
  • Ability to work in an independent and disciplined manner;
  • Strong organizational skills and ability to set priorities and use initiative.
  • Team spirit and the desire to help establish a positive dynamic in the unit.
  • Ability to handle sensitive information with all required confidentiality;
  • A special interest in humanitarian work
