 Background:

Job Purpose:

 

Under the guidance and supervision of the Administrative/Human Resources Associate, the Administrative/Human Resources Assistant supports the provision of administrative and Human Resources services ensuring high quality, accuracy and consistency of work in line with UNFPA rules and regulations.



 
 Duties and responsibilities:

  1. Ensures implementation of operational strategies, focusing on achievement of the following results:
  • Full compliance of administrative/Human Resources activities with UNFPA rules, regulations, policies and strategies.
  • Provision of inputs to the CO administrative business processes mapping and implementation of the internal standard operating procedures (SOPs).
  1. Maintain the Unit filing system
  • Maintenance of proper filing system for HR records and documents.
  • Check and maintain personnel files for all contract holders, ensuring all documentation is complete; maintain and update confidential personnel information and documents, and ensure relevant documents are kept in their respective files;
  1. Ensures that staff attendance in monitored properly
  • Preparation of Yearly, monthly attendance sheets and maintain and update leave records and staffing lists;
  • Prepare staff leave plans based on staff annual performance and individual work plans in close coordination with program managers.
  • Calculate and monitor employees leave balances.
  1. Ensures effective administrative and Human Resources support, focusing on achievement of the following results:
  • Initiate process for the preparation of staff support documentation (Issuance and renewal UN ID cards);
  • Provision of support with regard to candidates testing such as arranging places for the tests.
  • Other duties may be assigned to within the professional competence of the post holder and with work scope.

 
 Minimum Qualification, Skills and Experience Required:

Academic Requirements: Completed Secondary Level Education with Bachelor degree in Human Resources, Business Administration or other relevant field is an

                                                 advantage.

Experience:                          Five years of relevant experience in Administrative, Human Resources preferably with UN and/or INGOs

Languages:                           Fluency in written and spoken English and Arabic is required.

Computer skills:                  Use of computers and Office software packages and Web-based Management systems.
