 Background:

UNESCO is seeking for Junior Administrative Assistant.

Recuritment open to Internal and External candidates.



 
 Duties and responsibilities:

Under the authority of the Head of UNESCO Khartoum Office, and under the direct supervision of the Administrative Officer, the incumbent shall perform the following duties:

 

  • Act as Certifying Officer ensuring that Office financial transactions are in compliance with UNESCO regulations, rules, policies and procedures: assist in preparing and documenting reports, settlements in travel claims; follow up on administrative matters; security matters in coordination with UN Security Coordinator; classify, maintain general office files, correspondence, reference documents; draft routine correspondence.
  • Process payments; reports and follow up on VAT reimbursement; ensure that accounting records are complete and properly filled; act as bank focal point, deal with petty cash.
  • Register actions/data; verify transactions; identify and correct errors; assist to input corrective actions in the system; assist in production of financial reports related to regular and extra budgetary funds.
  • Participate in the completion of standard administrative support activities such as follow up on personnel files; draft routine correspondence; process requests for visa, identity cards, driving licenses and other personnel related documents; collect applications for vacancies and coordinate interviews and prepare agenda and documentation.
  • Provide administrative and support services in processing transactions, control and maintenance of accounts and databases: arrange for shipments, supplies; equipment and customs clearances; Liaise with companies and different host country’s administration; perform procurement; maintains and monitors stock levels; inventory records;
  • Provide administrative and logistic support for the Office’s workshops, meetings and conferences; arrange for travel of staff and participants;
  • Additional activities that may be required to ensure the success of the work team

 
 Minimum Qualification, Skills and Experience Required:

REQUIRED QUALIFICATIONS

 

  • Secondary and/or vocational education preferably followed by finance and/or accounting training;
  • At least 3 (three) years of professional in general administration and/or finance and accounting;
  • Good interpersonal and communication (oral and written) skills;
  • Good organizational and coordination skills;
  • Ability to work as part of a team, to take initiative and provide quality and timely support and services;
  • Discretion and capacity to deal efficiently and tactfully with people of different cultural backgrounds;
  • Flexibility to adjust work schedules and priorities;
  • Proven computer skills (MS Word, Excel, Data base systems, Outlook, Financial software, etc.);
  • Good knowledge of English.

 

DESIRABLE QUALIFICATIONS

 

  • Diploma in accounting would be an asset;
  • Knowledge of SAP technology software  would be an asset;
  • Knowledge of  IPSAS basic accounting policies would be an asset;
  • Knowledge of other UN language (Arabic) would be an asset.

If shortlisted, candidates will be required to pass standard tests:

 

            Skills at standards tests:

 

  • Basic knowledge in accounting in the other language;
  • Basic calculation in Excel sheets;
  • Additionally, a written test may be used in the recruitment of the post.

 

CONDITION OF EMPLOYMENT

UNESCO salaries in Khartoum are paid in Sudanese Pounds, exempt from income tax. The annual remuneration for this post will start from SDG 53,020. Other benefits include: 30 days annual leave, family allowance, medical insurance and pension plan.
