Background: Under the guidance and supervision of the Operations Manager, the Receptionist provides reception services ensuring high quality, accuracy and consistency of work. |

Duties and responsibilities: • Maintain at all times a professional image as the front line representative of the UNFPA Office; Receives visitors including high ranking government officials; anticipates and provides assistance and hospitability requirements of the visitors.
• Screens all phone calls, provide necessary information, direct to the requested party or route to other offices as necessary;
• Maintains the CO reception lounge in a neat, order and hospitable fashion; ensures at all times that the display of brochures and other documents are properly maintained and furnished;
• Logs all hard copies of incoming and outgoing mail; dispatches all hard copies of incoming mail in the pigeon holes;
• To receive and maintain a log of all complaints relating to building maintenance connectively/telephone s etc and ensures that complaints are passed on the focal point in administration;
• Maintain contact with focal point within each project for all their administration related difficulties and effectively deals with them by liaison with Admin. focal point.
• Maintain the library and its requirements
• Preparation of monthly attendance sheet.
• In charge of conference room schedule.
• Update daily EDSL system.
• Assist in raising Atlas requisition for meetings, workshops and conferences procurement.
• Any other duties may be assigned to within the professional competence of the Post Holder. |

Minimum Qualification, Skills and Experience Required: • Academic Requirements: Secondary education with equivalent work
• Experience: related to the above mentioned with not less than 2 years.
• Languages: Fluency in oral and written English and Arabic.
• Competency: With the ability to accept personal responsibility, but also operate as a member of a team.
• Computer skills: Proficiency in current office software applications (MS Word, Excel, etc). |
