 Background:

Under the overall guidance and supervision of the Head of Field Office UNDP Kassala Sub-office and direct supervision of Operation Analyst, The Administrative/logistics Associate will perform administrative and logistical support functions, She/he promotes a client oriented approach consistent with UNDP rules and regulations, best practices and the Internal Control Framework.


 
 Duties and responsibilities:

1. Performs general administrative and logistical work, including travel arrangements, ensuring that appropriate protocols are followed according to UNDP regulations. Assists the UNDP Kassala Operation and Porgramme/project staff by making ticket booking and assembles information pertinent to purpose of travel; 2. Assist in facilitating and undertaking logistical requirements for Kassala Field Office staff and visitors for internal and external missions including raising of travel requisitions and ensuring receipt of travel authorizations, Security clearance, transport booking and accommodation and ensuring compliance of immigration and customs procedures for staff. 3. Assist in preparing monthly and other ad hoc reports for the Kassala Field Office. 4. Maintains and updates inventory records of non-expendable equipment. Ensure that proper records are maintained in the Assets Management Module of Atlas for core assets in close liaison with the asset management function in the Country Office. Keeps control of use/stock of office supplies (expendable items), and items which are in personal use of the staff members. Prepares proposals and documentation on disposal of office equipment and other items. 5. Provide support in the maintenance of an effective cost sharing system for common premises based upon a full internal cost recovery; 6. Supervises, guides and coaches the drivers of the office. Coordination of transportation services, regular vehicle maintenance and insurance. Checking and certifying of vehicle daily log and gas consumption, update and maintenance of vehicle history report. Prompt reporting and investigation of cases of vehicle accidents, damage, loss or theft of items; update and maintenance of vehicle history report. 7. Ensures that communication and office equipment are properly maintained. 8. Drafts correspondence, faxes, e-mails, memoranda and reports from oral instructions, previous correspondence or other available information sources in accordance with standard office procedures. 9. Ensures that maintenance and repairs to premises, vehicles and equipment are carried out in an effective and cost-efficient manner, with a view to ensure their optimal condition at all time. 10. Undertakes regular procurement of fuel for the UNDP Sub-offices in Kassala with a view of ensuring a sufficient supply of fuel at all times. 11. Supervises the issuance of fuel in UNDP office in Kassala and prepares monthly reports on fuel consumption. 12. Raise procurement related requisitions in Atlas and liaise with the UNDP Procurement Unit for the timely delivery of equipments and items for the Field Office and Guesthouse 13. Provide support in security related issues such as implementation of UNDP MOSS and MORSS compliance for the Field Office and Guesthouse and maintenance of contingency plans, field security plans and procedures for medical and other emergencies. 14. Prepare payment cheques and assist in financial management related tasks 15. Supports knowledge building and knowledge sharing such as briefing/debriefing of Field Office personnel on issues relating to area of work and sound contributions to knowledge networks and communities of practice. 16. Performs other duties as requested.

 
 Minimum Qualification, Skills and Experience Required:

1. Secondary education. Certification in administration desirable. University Degree in Business or Public Administration desirable, but it is not a requirement. 2. Proficiency in English and Arabic. 3. 5 to 6 years of relevant experience in administration or programme support service. At least one year of previous experience in working for international organizations in procurement, logistics, administration or related fields 4. Experience in the usage of computers and office software packages (MS Word, Excel, etc.). Experience in handling of web-based management systems. 5. High sense of responsibility, resourcefulness, willingness to take initiative, excellent communication skills and team spirit are important assets. 6. Familiarity with the mandate and role of the United Nations
